Alcohol

The Expo has a limited license from 11am – 4pm for the designated area of the bar only and the consumption of alcohol is not permitted during move-in or move-out times or any other areas during the public hours of the Expo.

Breakfast

Complimentary cooked breakfast will be available for exhibitors between the hours of 8:00am – 9:00 am.  Breakfast vouchers are included with the exhibitor information pack sent out just before the Expo.  Half price coffee is available for exhibitors until 10am. Please remember to bring your breakfast vouchers on the day.

Exhibits

Stalls may only sell or exhibit/promote Garden &/or Environmental products & services.

Exhibitors Badge

Exhibitors will be provided with two exhibitor’s badges on entry to the grounds.  Please identify yourself as an exhibitor at set-up time and hand in your exhibitor pass.  We request that exhibitors wear their badges for easy identification throughout the day.

First Aid

St John’s Ambulance will be in attendance all day to administer first aid if necessary.

Food & Drink

Food & drinks will be available to purchase throughout the day from various vendors.

Health & Safety

A safety officer will inspect the stalls area and Expo grounds prior to the event beginning.  Please report any unsafe conditions to the Expo Management team, (wearing orange safety vests)

Management

The Expo is organised and managed by The Hills Montessori School.  The Expo Management team, Cathy France, Tracey Spokes, Mellissa Bradley, Alison Howard & Bec Francis. will be available throughout the day if needed.  They will be recognizable by the orange safety vests that they will be wearing.

Opening Hours

The Expo opening hours are from 10am – 4pm Sunday 13th November 2011.

Pack Up Time

Please do not begin packing up your site until 4pm.  Early move out compromises the safety and enjoyment of the visiting public.  Move out is to be completed by 6pm Sunday 13th November 2011.

Power

All electrical fittings being used must be tested and certified by a qualified electrician prior to the event.  This will be checked by the safety officer.

Promotion

The Expo will be promoted on radio & in newspapers, magazines & on line.  Exhibitors are encouraged to promote the Expo to their clientele prior to the event through the provided advertising flyers sent with the information packs or by downloading them here.  If more advertising flyers are required please phone 8339 6842.

Public Liability Insurance

All exhibitors must provide their own public liability insurance and a copy of this insurance must be provided with the Site Application form and cheque.  Exhibitors who fail to provide this documentation will be unable to exhibit at the Expo.

Raffle

We thank exhibitors who are able to donate a prize for the raffle which is  drawn on the day at 3.45pm.  A member of the Expo committee will collect the prize from exhibitors early on Sunday morning prior to the start of the event. Exhibitors who have donated a prize for the raffle will be listed on the website and with the raffle.

Security

All exhibitors are responsible for their own display material and products and should arrange insurance where necessary.  The Police have been notified of the event & will attend the event.  Please notify the Expo Management team if the police are required at any time.

Set Up Time

Sites can be set up between 7.00 – 9.00 am on the day of the Expo
(All sites must be ready by 9.30 am on the day)

Sites

All Sites are 3m x 3m.  Exhibitors who apply & pay for extra sites will be allocated sites alongside each other.  Power and trestles will only be available on those sites where exhibitors have applied and paid for such things prior to the event.  There will be no trestles available for hire on the day.  Exhibitors are expected to provide their own display furniture, signage, gazebos etc.

Tickets

Expo entry tickets are $5.  Entry for children accompanied by an adult is free.

Toilets

Male & female toilets are available on site.  Please check the site map for location.

Vehicles

Exhibitors are able to drive their vehicles to their sites to load and unload equipment during the designated times.  All vehicles need to be moved into the designated car parking areas by 9:00 am then vehicles must not be driven near or onto sites until after 4:15pm. Please check site map to locate designated car parking area for exhibitors.  Car park attendants will be recognizable by the yellow safety vest.
